Abstract

Efficient space usage has nowadays become quite important in the context of office and college administrations with the advent of smart technology management systems. This report describes an IOT-based seat monitoring system which may play an important role in addressing the issues of occupant detection and management. The objective of the proposed IOT-based Seat Monitoring System is to facilitate office and college administrations through automated attendance detection and occupant detection in order to simplify administrative tasks. This system consists of a fridge door switch attached to the chair that would indicate occupancy, a microcontroller known as ESP32 that processes the real-time data, and Telegram as the instant notification system. As soon as someone sits in the chair, it triggers the switch and immediately sends a notification through Telegram from the ESP32 that someone occupies the seat –whether it is the principal, faculty, or student. The design highlights the features of simplicity and power savings using the cost-effective selection of components, and therefore, it is easily implementable on a mass scale within the office space, classrooms, and administration offices. This system uses the network of embedded systems and IoT models to detect the seats that are being used and not being used, without compromising on privacy. It provides real-time data gathering and analytics about occupancy levels, peak hours of use, underused spaces, and booking practices using cloud analytics. This facilitates the decision-making process of the administrator on space management, scheduling of cleaning practices, and energy conservation. This architecture of the system focuses on cost-effective realization, less power consumption, scalability, and easy deployment. As opposed to surveillance techniques based on camera technology, this approach not only ensures privacy protection but also guarantees high accuracy of occupancy sensing. The application of cheap embedded systems allows deploying the system in various spaces such as classroom, library, lab, conference room, office cabin, and common office area. Apart from the feature of real-time occupancy tracking, the technology also enables cloud-based analytics, which helps in capturing data on the use of seats and analysis of such data. This data can help recognize patterns regarding occupancy and its trends, peak hours, unused space, and even seat behavior patterns. This will help in scheduling and allocation of classrooms in an efficient way and also energy conservation as lighting and air-conditioning is managed based on occupancy detection. In addition to that, this system could be linked with the management software at the place of its application to facilitate smart booking and access, personalizing seating arrangement. Implementation of IOT will help reduce the burden of the management and also increase the overall efficiency of users by helping them utilize the shared resources in a smarter way. This paper describes the system design along with overall system architecture and the components involved, methodology for implementation and its diverse applications in a cost-effective manner.
